GUIDELINES FOR POSTER PRESENTATIONS

Location:

Set-up Time:

Sunday, May 14, 2000, from 12 noon until 20:00

Monday, May 15, 2000 from 09:15 until 12 noon

All posters must be in place no later than 12 noon on Monday, May 15, 2000.

A Press Conference will be taking place in the Demo & Poster Room on Monday, May 15th sometime between 13:00 — 14:30.

Contact on Site:

When you arrive on site, please check-in at the Registration Desk to obtain your registration badge. You should coordinate your poster set-up and requirements and direct all your questions to Julie Parnell who will be available to assist you in the Demo and Poster Room (Room 407-B).

Poster Viewing and Judging:

Judging of posters will be taking place throughout the Monday and Tuesday Poster sessions. The posters should also be available for general viewing for the final Poster session on Wednesday morning.

Schedule:

The Demo & Poster room will be open during the following hours:

Monday, May 15: 1:00 pm — 6:00 pm

Tuesday, May 16: 09:15 am — 6:00 pm

Wednesday, May 17: 09:15 — 12:15 pm

Tear-Down Time:

You are required to remove your posters on Wednesday afternoon, May 17th, between 12:15 pm and 6:00 pm. The conference staff will remove and dispose of any posters remaining as of 6:00 pm.

 

TIPS FOR EFFECTIVE POSTERS

Mounting and Removing Materials:

Mount your materials on the panel, which has been reserved for your poster, and leave them there for the full session. Materials should be mounted on thin, colored poster paper or cardboard. (Avoid using heavy cardboard, which may be difficult to keep in position on the poster panel). Materials can only be mounted on the panel by means of pins that will be provided.

Do not write or mark the poster panels in any way.

Arranging materials:

The poster panel surface area is 4’ wide by 4’ high.

The top of your poster should have a clear label indicating the abstract title, authors and affiliations. Lettering should be at least 1" high.

It may be preferable to arrange materials in columns rather than rows. It is easier for viewers to scan a poster by moving systematically along it rather than by zigzagging back and forth.

If applicable, and introduction should be placed at the upper left, and a conclusion at the lower right, both in large typescript.

Illustrations:

Bear in mind that diagrams and illustrations may be viewed from a distance. The sequence of illustrations should be indicated with numbers or letters at least 1" high, preferably in bold print. (Omit the words "Fig." or "Figure", they are unnecessary and occupy too much space). Each figure or table should have a heading of 1 or 2 lines in large type stating the "take-home" message. Detailed information should be provided in a legend in smaller type below.

Charts, drawings, and illustrations could be similar to those used in making slides — preferably simpler (avoid unnecessary details) and drawn with heavy lines. Keep everything as clear and simple as possible.

Allocated Poster Space:

Accepted poster presentations will be allocated space, which will be identified with the poster author’s name. Please respect the parameters of the allocated space by not infringing on the poster area beside yours.

 

Poster Area:

You are responsible for keeping your poster area clean and unencumbered with materials. The only item that should be in your poster area is your poster itself. Any packaging materials or other personal items must not be left in the poster room at any time.

General Information:

Your poster should be self-explanatory so that you are free to supplement and discuss particular points raised in inquiry. The poster session offers an intimate forum for information discussion, but this becomes difficult if you are obliged to devote most of your time to merely explaining your poster to a succession of visitors.
